Do the job once. Get the SOP your team follows and your AI can read.
Month-end in your ERP is a run of screens one person knows by heart, and she would like a holiday.
She clicks through it once with Steptree recording, even on a system with no API. Steptree writes the desk procedure screen by screen, with her notes on each exception, down to the odd supplier code.
Your supervisor approves it. Whoever covers goods receipt or month-end during leave follows it, and can ask Steptree AI when a screen looks wrong.
Free plan: 300 AI credits a month and two recordings, no card. Claude can connect on any plan.
What actually happens
Your clerk documents the job by doing it once
You work the job once, at your own pace
Same screens, same order, same supplier quirks. A green-screen session, an old Windows client and a web page are all the same thing to the recorder.
Password fields are never recorded.
You add a note at each exception as you hit it
The supplier who is always coded differently. The figure above which somebody senior has to look. You note each one while you are still in it.
Your supervisor edits the desk procedure, then approves it
What comes back is a document, not a script: the steps with screenshots under them, and your notes where the job forks. Nothing is published until your supervisor approves it.
The desk procedure
The desk procedure comes back in words your supervisor uses
- Screenshots sit under the steps they show
- A reviewer checks the procedure against the job they already know, rather than taking a list of clicks on trust.
- Where the job forks, the document forks
- The threshold your clerk named is written as a decision point a reviewer can change or delete.
One weekly job proves the desk procedure holds up on your own screens. A subscription documents every desk like it, so cover for leave is a page to open rather than a person to find.
Cover staff can ask, not just read
Where to start
Start with the desk that stops when one person is away
The enquiry nobody wants to stop and look up
Somebody rings about an order. The desk procedure lists the places your team checks, in the order they check them.
Monday's backorder list
Same report, same filters, same retyping into the same spreadsheet. Once it is written down, whoever is in on Monday can build it.
Supplier price lists, out of the inbox and in
A price update arrives as an attachment. The procedure shows how your purchasing officer keys it, and where your tolerance means a second look.
For IT and finance
What gets recorded, and what never does
- Password fields are never recorded
- The whole step is skipped, screenshot and typing included. Emails and card numbers are stripped from typed text too.
- Delete a step before it is written up
- Screenshots are kept as taken, usually of just the window you work in. Delete any step that shows too much before the desk procedure is written.
- Your procedures stay in your workspace
- Each workspace is walled off in the database, and an AI tool connects only with a personal key that expires.
Questions
Asked before your team signs off
- Does anything get installed on the machine our system runs on?
- No. Nothing connects to the server or the database. The Steptree App or the Recording App goes on the computer your clerk already uses, and records the screens they sign into.
- We have a manual already. Why would this one stay current?
- Because updating it is a re-record. When a screen changes, click through it again and a new draft is written in minutes for your supervisor to approve.
- Where should we start?
- One job that stops when one person is away: the month-end close, goods receipt, or the enquiry that interrupts your team most.
- What happens to the person whose job this is?
- They are the one who records it, and the judgement calls go down in their words. The desk keeps moving while they take a holiday.
- What are our recordings used for?
- Writing your procedures, and nothing else. They stay in your workspace, walled off from every other customer's.
- What does it cost to find out?
- Nothing. The free plan has 300 AI credits a month and two recordings, no card. That is enough to record one job and read back the desk procedure it becomes. Paying is what documents every desk, not just the one you tested.
